When a Zapier workflow makes sense.

Zapier can be useful when the applications expose the trigger and action needed for a particular handoff. It is not automatically a substitute for a native integration, nor does it mean two systems fully synchronize. Confirm the available connector capabilities and the subscriptions required on each side before choosing this route.

Connect with appropriate account access.

The agency should retain ownership of its integration accounts so a future staff or provider change does not leave a business-critical connection tied to someone’s personal login.

Write a small data contract.

List the fields you expect the trigger to provide and the destination requires. Names, contact details, product interest, lead source, and assignment may each need mapping or validation. Decide what happens when a required value is missing. A workflow should not silently create a record nobody can use.

  • Name the event that starts the workflow.
  • Define required fields and acceptable values.
  • Filter records that should not be sent.
  • Document the expected destination and responsible person.

Avoid loops and repeated records.

Consider how a retry, a duplicate submission, or an update from the destination could trigger the same workflow again. Choose supported matching or lookup behavior where appropriate. If both systems can generate an event from the same update, make sure the design does not bounce changes back and forth indefinitely.

Test the exception path before depending on it.

Use test records to check successful delivery, missing information, existing contacts, and provider errors. Decide who watches failed runs and what they do next. Verify the vendor requirements before connecting.
