WHAT WE HELP YOU PUT IN PLACE

A working foundation, a clear lead process, and a team that knows what to do next.

  • Agency settings and lead sources
  • Users, roles, and appropriate permissions
  • Sales pipelines and stage definitions
  • Tasks, ownership, and follow-up rules
  • Supported email and integration connections
  • Workflow testing and staff onboarding

A useful setup starts with your process.

Before changing settings, we talk through what happens when a prospect arrives, who owns the next action, and what counts as a completed sale. A personal-lines lead and a commercial submission may need different handoffs. We map those differences before building the pipelines.

  • Identify the lead sources the agency actually uses.
  • Define a single owner for each stage of the process.
  • Decide what stays in the CRM and what belongs in your AMS.

Build the foundation before the automation.

We help organize account settings, users, lead sources, stages, and responsibilities. Each stage should describe an observable event, not an employee’s best guess. “Quote delivered” is easier to use consistently than “warm lead.” We also agree on naming conventions so a future employee can understand the setup without rebuilding it.

Connect, test, then turn it on.

We review the connections supported by your AgencyZoom plan and the external systems you use. Before enabling follow-ups, we run controlled test records through the intended path. This includes checking the recipient, sender, assignment, stage change, and stopping conditions. We do not ask you to share customer records or passwords in our public inquiry form.

A handoff your team can actually use.

Configuration is only useful if staff know how to work with it. We walk through the agency’s process with producers and service staff: where to find leads, what to record, which tasks need a human, and when to move an opportunity. After onboarding, new employees and changing workflows remain part of the ongoing service.

ILLUSTRATIVE WORKFLOW · NOT A CLIENT CASE STUDY

Example: a new personal-lines lead

The situation: Website inquiries reach an inbox, but nobody has clear responsibility for entering or following up with them.

The work: Define the lead source and owner, choose the appropriate pipeline, configure a supported connection, and assign the first follow-up task.

The check: Submit a test inquiry and verify the source, owner, stage, task, and any approved acknowledgment. Repeat with an incomplete record.
