AgencyZoom documents both webhook-based and email-based intake for supported web lead vendors. The available method depends on the vendor. A custom website form is not automatically equivalent to a listed vendor: confirm the supported route, format, or an appropriate integration option before wiring it up.

Collect what the agency needs to respond.

A public inquiry form should ask for the minimum useful contact information and the context needed to route the request. Do not use a general form to collect passwords, payment details, or sensitive policyholder records. Decide which system should receive the submission, how delivery is confirmed, and what the visitor sees if it fails.

Map the lead into a real process.

Plan the lead source, destination pipeline and stage, responsible producer, and any service handoff. The official web lead setup includes assignment choices; select the behavior that matches your agency’s responsibilities. A record reaching the CRM is not the same as the record being worked.

  • Keep source labels consistent across the website and CRM.
  • Check required field values and contact formatting.
  • Choose the first human task or approved acknowledgment.
  • Define who investigates undelivered or unassigned inquiries.

Protect the delivery path.

Perform validation and provider calls on the server when a workflow requires credentials. Use spam controls, appropriate rate limits, and a failure path that is visible to the operator. A thank-you message should not claim successful delivery when the receiving service rejected the request. Avoid exposing integration secrets in browser code or URLs.

Run a complete acceptance check.

Submit a controlled inquiry from the actual form. Verify the received fields, lead source, owner, stage, and first action inside the CRM. Test a missing value, a repeat submission, and an unavailable destination. Decide whether failed delivery should be retried or sent to an agreed fallback—and ensure retries do not create duplicate work.
